Creating Team Collections
Build shared asset libraries for your team:
- Navigate to Collections: Go to the Collections section in your dashboard
- Create New: Click 'Create New Collection'
- Set as Team Collection: Enable the 'Team Collection' option
- Name and Describe: Give your collection a clear name and description
- Set Permissions: Choose who can view or edit the collection
- Create: Save your new team collection
Once created, team collections are visible to all members with appropriate permissions.
Organizing Team Assets
Keep team collections structured and useful:
- Logical Categories: Create separate collections for different projects or asset types
- Consistent Naming: Use clear naming conventions for collections
- Descriptions: Add detailed descriptions to help members understand the collection's purpose
- Tags and Labels: Use tags to make assets easily searchable
- Regular Maintenance: Periodically review and clean up outdated collections
Collection Permission Levels
Control who can do what with team collections:
Permission Level | Capabilities |
---|---|
Owner | Full control: edit, delete, manage permissions, add/remove assets |
Editor | Add/remove assets, organize collection, edit details |
Contributor | Add assets to the collection, but cannot remove or reorganize |
Viewer | View and download assets, but cannot modify the collection |
Permissions can be set at both the collection level and for individual team members.
Sharing Collections Externally
Share work with clients or external partners:
- Open Collection: Navigate to the team collection
- External Sharing: Click 'Share Externally'
- Set Access Level: Choose between 'View Only' or 'Download Allowed'
- Create Link: Generate a shareable link
- Set Expiration: Choose when the link should expire (optional)
- Password Protection: Add a password for extra security (optional)
External recipients don't need an account to view shared collections via link.
Collaborating on Collections
Work together effectively on shared collections:
- Comments: Leave notes on collections or specific assets
- Activity Feed: See recent changes and additions
- Notifications: Get alerts when collections are updated
- Version History: View previous versions of the collection
- Favorites: Mark important team collections as favorites for quick access
