Creating Team Collections

Build shared asset libraries for your team:

  1. Navigate to Collections: Go to the Collections section in your dashboard
  2. Create New: Click 'Create New Collection'
  3. Set as Team Collection: Enable the 'Team Collection' option
  4. Name and Describe: Give your collection a clear name and description
  5. Set Permissions: Choose who can view or edit the collection
  6. Create: Save your new team collection

Once created, team collections are visible to all members with appropriate permissions.

Organizing Team Assets

Keep team collections structured and useful:

  • Logical Categories: Create separate collections for different projects or asset types
  • Consistent Naming: Use clear naming conventions for collections
  • Descriptions: Add detailed descriptions to help members understand the collection's purpose
  • Tags and Labels: Use tags to make assets easily searchable
  • Regular Maintenance: Periodically review and clean up outdated collections

Collection Permission Levels

Control who can do what with team collections:

Permission LevelCapabilities
OwnerFull control: edit, delete, manage permissions, add/remove assets
EditorAdd/remove assets, organize collection, edit details
ContributorAdd assets to the collection, but cannot remove or reorganize
ViewerView and download assets, but cannot modify the collection

Permissions can be set at both the collection level and for individual team members.

Sharing Collections Externally

Share work with clients or external partners:

  1. Open Collection: Navigate to the team collection
  2. External Sharing: Click 'Share Externally'
  3. Set Access Level: Choose between 'View Only' or 'Download Allowed'
  4. Create Link: Generate a shareable link
  5. Set Expiration: Choose when the link should expire (optional)
  6. Password Protection: Add a password for extra security (optional)

External recipients don't need an account to view shared collections via link.

Collaborating on Collections

Work together effectively on shared collections:

  • Comments: Leave notes on collections or specific assets
  • Activity Feed: See recent changes and additions
  • Notifications: Get alerts when collections are updated
  • Version History: View previous versions of the collection
  • Favorites: Mark important team collections as favorites for quick access

Create a standardized structure for team collections, such as prefixing with department names or project codes, to make navigation easier as your library grows.
