Adding Team Members

Expand your team with these steps:

  1. Access Team Settings: Go to Settings > Team Management
  2. Add Member: Click the 'Add Member' button
  3. Enter Details: Input email address and select role
  4. Customize Access: Set specific permissions if needed
  5. Send Invitation: Click 'Send Invite'

New members will receive an email invitation with instructions to join your team.

Removing Team Members

When someone leaves your organization:

  1. Access Team Settings: Go to Settings > Team Management
  2. Find Member: Locate the team member in the list
  3. Remove Access: Click the 'Remove' button next to their name
  4. Confirm Action: Verify the removal in the confirmation dialog

Removed members will lose access immediately, but their previous contributions to team collections will remain.

Changing Member Roles

Adjust permissions as responsibilities change:

  1. Access Team Settings: Go to Settings > Team Management
  2. Find Member: Locate the team member in the list
  3. Edit Role: Click 'Edit' or the role dropdown next to their name
  4. Select New Role: Choose the appropriate role from the options
  5. Save Changes: Confirm the new role assignment

Role changes take effect immediately.

Monitoring Team Activity

Track how your team uses the platform:

  • Activity Dashboard: View overall team usage statistics
  • Download Reports: See which assets are being downloaded and by whom
  • Collection Activity: Monitor changes to team collections
  • Login History: Track when members access the platform
  • Export Data: Download reports for offline analysis

Activity reports can be filtered by date range, user, or content type.

Managing Team Seats

Optimize your subscription with effective seat management:

  • Seat Allocation: Assign available seats to priority team members
  • Seat Upgrades: Add more seats as your team grows
  • Inactive Users: Identify and remove inactive accounts to free up seats
  • Temporary Access: Rotate seats for contractors or temporary needs

Your current seat usage and limit are displayed in the Team Management dashboard.

Important

When removing team members, consider transferring ownership of their collections and assets to another team member first to prevent loss of important resources.
